This policy explains how Pentagon Global Holding Ltd T/A RG8 UK (“RG8 UK”, “we”, “us”) handles personal data collected through rg8fm.com, what you can expect from us and how to use your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

1. Who we are

Pentagon Global Holding Ltd T/A RG8 UK is the controller of your personal data. Company number 16409486. Registered office: Branston Court, Branston Street, Birmingham, B18 6BA.

2. What we collect

  • When you send the contact form: your name and email address and, if you give them, your phone number, the service you’re interested in and your message. With it we record the date and the page you sent it from.
  • When you visit the site: like any website, our hosting provider processes the technical data needed to deliver pages and keep them secure, such as your IP address, browser type and the pages requested. Before a form is sent, an anti-spam check (Cloudflare Turnstile) looks at technical signals from your browser to tell people from automated bots. We don’t use this data to identify you or build a profile.
  • When you email or call us: the details you choose to share.

Please don’t include sensitive information (for example health details) in the form; we don’t need it to answer an enquiry.

3. Why we use it and our lawful basis

  • To reply to your enquiry, prepare a quote and, if you go ahead, set up the service – steps taken at your request before entering into a contract (Article 6(1)(b) UK GDPR).
  • To keep the website and the form secure and free of spam and abuse – our legitimate interests (Article 6(1)(f)).
  • To keep a record of enquiries and meet our legal and accounting obligations – legitimate interests and legal obligation (Article 6(1)(c)).

We don’t sell your data, we don’t use it for marketing, and we don’t make decisions about you by automated means.

4. Who we share it with

Only with service providers that process it on our behalf, under contract and our instructions:

  • Cloudflare – website hosting, security and the anti-spam check;
  • Resend – delivers the form message to our inbox;
  • Zoho – our business email.

We may also share data with professional advisers, or with authorities where the law requires it.

5. International transfers

Some of these providers are based in, or may process data in, the European Economic Area or the United States. Where data leaves the UK, it is protected by UK adequacy regulations or by the safeguards approved by the Information Commissioner, such as the International Data Transfer Agreement or Addendum.

6. How long we keep it

  • Enquiries that don’t lead to a contract: up to 24 months from our last contact, then deleted.
  • If you become a client: for as long as needed to provide the service, then for up to six years for legal and accounting purposes.
  • Security logs held by our hosting provider: a short period, under its own retention policy.

7. Cookies

We don’t use advertising or analytics cookies, and we don’t track you across sites. The site only remembers that you have closed the cookie notice, using your browser’s local storage (nothing is sent to us). The anti-spam check runs in a Cloudflare frame under Cloudflare’s own terms and is used only to protect the form.

8. Your rights

You can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct data that is wrong or incomplete;
  • delete your data, or restrict how we use it;
  • stop using it where we rely on legitimate interests;
  • send it to you or another organisation in a portable format.

To use any of these rights, email office@rg8fm.com. We will reply within one month and won’t usually charge a fee.

9. Complaints

If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.

10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
